1. Definitions

In these terms and conditions:

  • We, Our, Us – Refers to Nottingham Oligopoly, an event organised and run by 1st Chilwell & Attenborough Scout Group.
  • You, Your, Participant – A person attending or participating in Nottingham Oligopoly.
  • Team – A group of participants who have registered to take part in the event.
  • Local Group Coordinator – The person registering one or more teams to the booking system.
  • Event – The Nottingham Oligopoly event as described on the official event website (https://depotcornerscouts.com/oligopoly).
  • Game – Refers to the specific format of Nottingham Oligopoly for different age ranges (Cub, Scout, Explorer).
  • POR – The Policy, Organisation and Rules of The Scout Association as outlined on the Scouts website (https://www.scouts.org.uk/por/)

2. Eligibility

2.1. Nottingham Oligopoly is open only to members of Scouting.
2.2. There are three different games available:

  • Cub Game – For participants aged 8 to 10.5 years at the time of the event.
  • Scout Game – For participants aged 10.5 to 14 years at the time of the event.
  • Explorer Game – For participants aged 14 to 18 years at the time of the event.

3. Team Structure

3.1. Cub Game – Teams must consist of a minimum of 3 and a maximum of 12 participants and must include at least one adult leader with a full Scout DBS. Teams must meet standard Scouting ratios at all times, as set out in POR. Adult leaders DO count as one of the participants in the team. A team cannot be made up of only adult leaders.
3.2. Scout and Explorer Games – Teams must consist of a minimum of 3 and a maximum of 6 participants. An adult is not required to participate, but an adult leader from each group must be contactable on the day of the event. Adult leaders DO count as one of the participants in the team. A team cannot be made up of only adult leaders.
3.3. The Local Group Coordinator is responsible for ensuring that all team members meet the age and membership requirements.

4. Fees and Refunds

4.1. There is a fixed fee per team, which is published on the event website and is payable at the time of booking.
4.2. Refunds are available if cancellation is made before the registration deadline, as published on the event website.
4.3. No refunds will be issued after the registration deadline.
4.4. We do not currently charge a cancellation fee, for bookings cancelled before the registration deadline.
4.5. Any surplus funds from the event will be retained by 1st Chilwell & Attenborough Scout Group to support future events and Scouting activities.

5. Event Rules and Code of Conduct

5.1. By entering the event, all participants agree to abide by the event rules and the rules of the Scout Association outlined in POR.
5.2. Participants must follow the risk assessment available on the event website and act responsibly at all times.
5.3. The event takes place in public spaces; participants are expected to respect members of the public and adhere to local laws and regulations.
5.4. Failure to follow the rules may result in disqualification from the event.

6. Photography and Media

6.1. We may take photos and videos during the event for promotional purposes, including social media, the event website, and future marketing materials.
6.2. Consent for photography will be managed on an opt-out basis. If a participant does not wish to appear in media, their parent/guardian or leader must notify the organisers in advance.
6.3. Submitted evidence (e.g., photos and videos from the event) becomes the property of Nottingham Oligopoly and may be used for promotional purposes.

7. Liability

7.1. Participation in Nottingham Oligopoly is at your own risk.
7.2. We accept no responsibility for any injury, loss, or damage to personal belongings during the event.
7.3. The event takes place in an open environment, including streets and public spaces, where there are natural risks such as slips, trips, and falls.
7.4. We are not liable for any injury or accident resulting from participation in the event, except in cases of negligence by the organisers.

8. Data Protection

8.1. We will collect and store the following personal data during the event registration process:

  • Names and contact details for the adult leader(s) from each group.
  • Contact details for at least one participant from each team (for emergency purposes).
  • Medical details for all participants (for emergency purposes).

8.2. This information will be used solely for the administration of the event and to respond to emergencies.
8.3. All personal data will be securely deleted following the event.

9. Force Majeure

9.1. We reserve the right to cancel or modify the event due to circumstances beyond our control, including but not limited to:

  • Extreme weather conditions
  • Public transport strikes
  • Acts of terrorism
  • Natural disasters
  • Any other event or circumstance which makes it impossible or unsafe to run the event

9.2. In the case of cancellation due to force majeure, no refunds will be provided.

10. Withdrawal and Substitution

10.1. Substitutions within a team can be made via the Local Group Coordinator up to the registration deadline.
10.2. After the registration deadline, no changes or substitutions will be permitted.
10.3. If a team withdraws after the registration deadline, no refund will be issued.

11. Participant Safety and Supervision

11.1. Each group attending the event must provide a minimum of one adult leader who is contactable during the event.
11.2. Adults attending are not required to participate but must be available to support their teams at the start, during, and end of the day, if required.

12. Refusal of Entry

12.1. We reserve the right to refuse entry to any participant or team at our discretion, including but not limited to:

  • Failure to comply with registration requirements
  • Breach of the event rules or Scout Association POR
  • Safety concerns or inappropriate behaviour

13. Legal and Governing Law

13.1. These terms and conditions are governed by the laws of England and Wales.
13.2. Any disputes arising from participation in Nottingham Oligopoly will be subject to the exclusive jurisdiction of the courts of England and Wales.
