This privacy policy applies to the Depot Corner Scouts Volunteers mobile app (“the App”), operated by Depot Corner Scouts (“we”, “us”, “our”). The App is intended solely for registered volunteers of Depot Corner Scouts.
1. What information we collect
When you use the App, we may collect and store the following information:
- Account information — your name, email address, and volunteer role, sourced from Scouts Membership System (SMS) and Google Workspace
- Membership data — your Scouts membership number, section memberships, joining progress, and mandatory training expiry dates
- Incident and near-miss reports — details you submit when reporting a first aid incident or near miss, including names of those involved, descriptions, and outcomes
- Expense claims — amounts, descriptions, dates, budget codes, and any receipt photos you attach
- Device information — your device’s push notification token, used solely to send you relevant alerts
- Usage data — basic logs generated by Firebase services for error monitoring and security
2. How we use your information
We use the information collected to:
- Verify your identity and control access to the App
- Display your joining progress and training status
- Process and track expense claims
- Record and manage safety incidents and near misses in compliance with Scouts’ safeguarding requirements
- Send you push notifications relevant to your role
- Allow group administrators to manage volunteer onboarding
3. Who has access to your information
- You — can view your own profile, incidents you’ve reported, and your expense claims
- Group administrators — can view all volunteer records, joining progress, incidents, and expenses for the purposes of group management
- Trustees — can view incident and near-miss reports for safeguarding and compliance purposes
We do not sell, share, or disclose your personal information to any third party outside of Depot Corner Scouts, except where required by law or where necessary to operate the services described below.
4. Third-party services
The App uses the following third-party services, each with their own privacy policies:
- Google Firebase (Authentication, Firestore, Cloud Functions, Storage) — firebase.google.com/support/privacy
- Google Workspace — for volunteer email accounts managed by Depot Corner Scouts
- Online Scout Manager (OSM) — for section membership data; onlinescoutmanager.co.uk/privacy
- Expo — for push notification delivery; expo.dev/privacy
5. Data retention
We retain your personal data for as long as you are an active volunteer with Depot Corner Scouts. Incident and near-miss reports may be retained for longer in accordance with Scouts’ safeguarding policies. You may request deletion of your data by contacting us at the address below.
6. Security
Access to the App is restricted to authorised volunteers. All data is transmitted over encrypted connections (HTTPS) and stored securely using Google Firebase. The App supports biometric authentication to prevent unauthorised device access.
7. Your rights
Under UK GDPR, you have the right to:
- Access the personal data we hold about you
- Request correction of inaccurate data
- Request deletion of your data (subject to legal retention requirements)
- Object to or restrict processing of your data
